Administrative Assistant

Schedule: Part-time (approximately 30 hours per week)

Reports to: Division Chief of Risk Reduction / Fire Marshal

Position Overview

The Louisville Fire Protection District is seeking a detail-oriented and customer-focused Administrative Assistant to support the Fire District.

Under the supervision of the Division Chief, this position serves as the primary point of contact for the Louisville Fire Protection District, providing assistance to the public, staff, and partner agencies, and performs a wide range of administrative and customer service duties.

The ideal candidate is organized, adaptable, and thrives in a fast-paced environment with diverse responsibilities. Occasional additional hours may be required to support special events or operational needs.

Key Responsibilities

  • Serve as the front desk receptionist by answering and routing calls, greeting visitors, and handling deliveries
  • Perform clerical duties including filing, scanning, data entry, and scheduling meetings
  • Manage incoming and outgoing mail, packages, and shipping (USPS, UPS, certified mail, etc.)
  • Provide administrative support for Community Risk Reduction (CRR) programs and operations
  • Process electronic correspondence and online applications related to plan review and permits generated by CRR personnel in accordance with fire code requirements.
  • Track payments, reconcile accounts, and follow up on outstanding invoices
  • Assist the public with Ambulance Membership Program enrollment and renewals
  • Support community risk reduction programs (e.g., smoke alarms, CARES, school tours)
  • Help develop educational materials and community outreach initiatives
  • Maintain professional relationships with partner agencies and community stakeholders
  • Contribute content for the district website and social media
  • Perform other duties as assigned

  • Ability to work independently and collaboratively
  • Proficiency in Microsoft Office and ability to learn new systems
  • Understanding of public service and fire department operations (preferred)
  • Ability to maintain confidentiality and handle sensitive information

Minimum Qualifications

  • High school diploma or G.E.D.
  • At least 3 years of administrative support experience, including customer service
  • Valid Colorado driver’s license

Required Within First Year

  • CPR and Basic First Aid certification
  • Completion of NIMS ICS 100, 200, 700, and 800 courses

Working Conditions

  • Primarily office or fire station environment with occasional community-based work
  • May include exposure to outdoor environments and varying weather conditions
  • Physical requirements include sitting, standing, walking, bending, lifting, and repetitive motion
  • Must pass a pre-employment criminal background check
